Secretary 

    Location: Lai Chi Kok, Sham Shui Po District

    Job Type: Part time

    Salary: $100 – $120 per hour

    REQUIREMENTS

    • Form 6 or above education;
    • Good command of English, Cantonese & Mandarin language.
    • Ability to handle administrative and prioritize multiple tasks, using Word, Excel (especially 3D map) and other software applications;
    • Ability to work under pressure;
    • Proactive, good communication and interpersonal skills;
    • Immediate available is highly preferred;
    • 3-8 years secretary / administration experience.  

    RESPONSIBILITIES

    • Part-time mode, every morning per week (9 am – 1 pm) or with flexible scheduling, 20 hours per week;
    • Perform full spectrum of secretarial & administrative support such as Minutes taking, schedule meetings and travel arrangement for MD;
    • Provide support to MD for various businesses and operations including E-mail screening, calendar, diary activity, preparation of presentation materials;
    • Organize company events local and abroad with direction from MD and/or Sales team/internal department;
    • Responsible for daily office operation, prepare meeting refreshment & order meals, receive couriers & mails, publication renewal & distribution, pick up & transfer calls;
    • Ensure daily office operation going smoothly. Monitor and keep track of the inventory for the office stationery, equipment and consumable items, request for cleaning / maintenance services regularly. Company paper reprint and business card create & reprint;
    • Manage supplier contracts and conduct professional business communication in mandarin with the Refra suppliers (Travel agents, airlines & hotel sales managers);
    • Facilitate better communication with IT and telecommunication companies in Hongkong;
    • Prepare business correspondence in English and Mandarin in a professional manner;
    • Provide supports for new employee start up. Order IT devices, register employee account registration and introduce company system to new employees;
    • Application of working visa for expatriate and other assignments of HR matters if required;
    • Webinar organizer for the internal training. Register overseas seminar / exhibition;
    • Potential to take part in company projects, e.g. production quality coordination; coordinate the quality issues in mainland China and follow up with the quality cases;
    • Strong ability to use excel especially 3D map;
    • Ability to manage sensitive and confidential information with discretion and diplomacy;
    • Keen attention to detail, strong follow-up and maintain document filing/record management;
    • Fulfill demands from other subsidiaries if any, and stay contact with the secretaries of other subsidiaries;
    • Perform ad hoc and other tasks as assigned by the MD.
